For example, say you have a 5-person team and you need Office applications and email for everyone. That means Office Professional licenses (about $500), Exchange Server ($700), and Exchange User Client Access Licenses (about $90). This doesn’t even include hardware, just licenses! And that’s only getting you the recent and mostly static version of Office. Now you have to handle the application patches, updates, and (eventually) upgrading to a new version.

An equivalent Microsoft 365 plan like Business Premium that has Office applications and email for your five users is much simpler: $20 per user per month, with just a 1-year commitment.

Simplifying Those Update & Upgrade Hassles

Even if you consider pricing discounts to reduce the sticker shock of an on-premise Office setup, you’re still stuck with a desktop version of Office that immediately becomes out of date. You might be forced to upgrade or change licensing because your Office suite is missing an application you need, or you can’t run on an outdated version anymore. (Because face it: Office 2013 doesn’t cut it in 2021.)

If you want to upgrade to the next version, or hire more people, you’re looking at paying another large chunk for the next version or juggling those user licenses.
