Five Tips for Word Documents

Do you spend a lot of time in Microsoft Word, working on projects, papers, proposals, and more? Here’s a quick review of five top tips for Word documents.

#1 The Format Painter

Does one section of your document not look like the rest? You can copy formatting from one paragraph and use the format brush to apply it to the paragraph you want to redo.

  1. Click on the formatting you want to copy (e.g. place your cursor in the paragraph).
  2. Click the Format Painter brush icon on the Ribbon. (Look for it on the Home tab, in the Clipboard group.)Tips for Word documents: Format painter
  3. Highlight the paragraph you want to change. And it’s done!

#2 Check Your Word Count

Does your document have to be a certain number of words long? Or are you trying to stay under a limit for an RFP? Just look in the bottom left of your Microsoft Word document. You’ll see “Page [X] of [X]” and “[X] words” down there.

If you want more information, go to the Review tab on the Ribbon. In the Proofing group on the right, click the Word Count button. You’ll get statistics on pages, words, characters, paragraphs, and more.

#3 Add Pictures from the Web

You can search for and insert pictures from Bing right from your Word document. Looking for something quick?

  1. Click the Insert tab on the Ribbon.
  2. Click Online Pictures in the Illustrations group.Tips for Word documents: Online pictures
  3. In the window that appears, search for a picture.
  4. Choose the picture you want and click the Insert button.

#4 Explore and Switch Styles

Change up your document’s look with the Themes options on the Design tab. Switch out Document Formatting (style sets) and choose different palettes for your Colors and Fonts.

#5 Get help

Looking for something, or have a question? Look for the light bulb on the Ribbon and the “Tell me” search box. Just type what you want or need to do and the search will send you straight to helpful commands in Help.
